What it does

The product takes in bank transaction data, for example from bank statement and transaction files, together with your invoice or business records. It matches transactions using transparent rules based on amounts, references, dates and counterparties.

Where one payment covers several invoices, or an invoice is paid in parts, the amounts can be allocated accordingly. Unmatched and ambiguous items go to a review list. A person reviews them and approves the results, and every match, allocation and decision is kept in an audit trail.

Typical input

  • Bank statement and transaction files
  • Invoice records
  • Other business or financial records to match against

What you receive

  • Matched transactions and allocations
  • A list of unmatched and ambiguous items
  • Reviewed and approved reconciliation results
  • An audit trail of every match and decision

Works on its own

Bank Reconciliation is sold and installed on its own. It works with invoice and business records from your existing systems and does not require any other product.

The problem it solves

Reconciling bank transactions by hand means going through statements and searching for the matching record, again and again. It becomes harder when payment references are unclear.

  • Payment references that are missing, shortened or incorrect
  • One payment covering several invoices, or several payments for one invoice
  • Time-consuming reconciliation at the end of each period
  • Little record of why a transaction was matched the way it was

How it works

  1. 1

    Import data

Bank transaction data and your business or invoice records are imported.

  2. 2

    Match

Rules match transactions by amount, reference, date and counterparty.

  3. 3

    Allocate

Payments are allocated across one or more records where needed.

  4. 4

    Identify exceptions

Unmatched and ambiguous items are collected in a review list.

  5. 5

    Review and approve

A person resolves exceptions and approves the results.

  6. 6

    Keep the audit trail

Every match, allocation and decision is recorded, and results can be exported.

Example workflow

A business reconciles its bank account against open customer invoices at the end of each week.

  1. 01The latest bank transaction file and the list of open invoices are imported
  2. 02Transactions with a clear reference and matching amount are matched
  3. 03One payment is allocated across two invoices from the same customer
  4. 04A transaction without a usable reference is listed for review, with possible matching invoices
  5. 05The reviewer selects the correct invoice and approves the results, and the decision is recorded

Expected business impact

  • Reduce repetitive manual matching of transactions
  • Make unmatched items easier to identify
  • Create a clearer, consistent review process
  • Maintain traceability for every reconciliation decision

Before

  • Go through statements line by line
  • Search for the matching record manually
  • Keep track of decisions in notes, or not at all

After

  • Clear matches are made by rule
  • Only exceptions need review
  • Every decision is recorded

The actual effect depends on your volumes and current process. We discuss realistic expectations during the requirements phase.
